Lasko Products, an industry leader in the design and manufacture of portable fans and heaters for over 100 years, is seeking an Executive Assistant to join our team.
The Executive Assistant manages the daily administrative work of the CEO and other key senior executives. This individual interacts with all levels of the organization and external business partners, customers, and suppliers. This role maintains complete confidentiality and tact in all communication and conducts daily activities with the utmost professionalism and efficiency. All candidates must have the minimum of 5 years with executive administrative experience in order to be considered.
Maintaining calendars for the CEO and other key executives - resolving scheduling conflicts, prioritizing calendar events and communicating urgent requests or changes to the appropriate parties; coordination of travel arrangements (global and domestic).
Phone communication for the CEO and other key senior executives - taking messages, screening and directing calls and answering questions as applicable.
Greets visitors that are meeting with the CEO and other executives and escorts them as needed. Additionally, provides phone assistance to other Executive Assistants when they are unavailable.
Oversees all scheduling of global meetings and conference calls (including phone and videoconference) for CEO and other executives, ensuring all meeting details are set including meeting invites, room, equipment, agendas, presentations, and any other details pertinent to the meeting's success.
Performs specific administrative duties such as processing expense reports and invoices, ordering office supplies, tracking attendance and vacation requests.
Manages distribution of incoming mail and executes all outgoing mail functions, including faxes and special deliveries.
Creates reports, drafts memos, and presentations and handles administrative aspects of special projects as needed.
Maintains a clean well organized work area, storage area and desk space.
Minimum 5 years prior experience supporting an executive level leader in a fast-paced environment.
Proficiency operating standard office equipment including phone, fax and copier.
Proficiency with Microsoft Outlook, Word, Excel and PowerPoint and specialized or advanced knowledge of PowerPoint, Excel and other reporting tools a plus.
Strong communication and customer service skills.
Ability to work in a fast-paced changing environment and under pressure at times (deadlines, etc.)
Self-initiative and a passion for follow-through on issues and opportunities.
Ability to work independently at a proficient level.
Ability to apply reasoning, diplomacy, and judgment in problem solving.
Ability to foster a positive work environment by promoting teamwork, open communication, and corporate culture.
Ability to prioritize multiple tasks while maintaining deadlines.
High School Diploma or GED equivalent required. Bachelor’s degree strongly preferred
Physical Abilities : Able to occasionally stand, walk, sit, reach, squat, kneel, and bend.
Lift/Carry: Able to occasionally lift/carry 10 lbs. to 30 lbs.
