Job Overview

Job Summary:

This Shipping Coordinator will report to the Logistics Manager and support basic logistics of shipping. The primary focus of the Shipping Coordinator is to coordinate documentation associated with shipping orders and communicating with customer service, material handlers, and freight carriers to ensure accurate and timely shipments are accomplished.


Essential Functions:

  • Prioritize and distribute pick tickets to material handlers for picking
  • Communicate with customer service, shipping supervisor and logistics manager to resolve issues concerning accuracy of orders or any deviation from planned shipping schedule.
  • Handles complaints related to shipments; notifies supervisor of any shipping or receiving issues.
  • Selecting most economical mode of transportation for all shipments while ensuring customer service needs are met and exceeded.
  • Prepare delivery notes and bill of ladings for shipments. Contact carrier for freight pickups.
  • Prepare productivity and shipping reports daily
  • Interact with warehouse and front office personnel
  • Coordinate with the appropriate personnel to ensure on-time delivery for pick-up, estimating times of arrival and delivery, and rescheduling pickups when necessary
  • Maintains database of shipment data to ensure that customer orders are updated and that appropriate billing documents are provided to accounting or other associated departments as required.
  • Prepare freight claim documentation for damaged or lost in transit shipments.
  • Reconciling freight bills to invoices and freight claim disputes with the shipping carriers.
  • Other duties as assigned.

Education and/or Experience:

  • Associates Degree or combination of GED/HS Diploma and experience required
  • 5-10 years' experience in shipping and logistics support required; previous customer service experience preferred.

Language Skills:

  • Excellent communication skills. Ability to read and interpret general department materials. Ability to write reports, and business correspondence. Ability to effectively present information and respond to questions from employees, and management.

Mathematical and Reasoning Ability:

  • Ability to perform basic mathematics.

Computer Skills:

  • Previous experience with variety of computer software applications in word processing, spreadsheets, data base and presentation software (Microsoft Word, Excel, PowerPoint).
  • PC proficiency a must (Excel, PowerPoint, and Word).
  • Enterprise inventory software experience required; SAP experience preferred

Working environment:

  • Warehouse and office environment

Physical Demands:

  • Prolonged periods of sitting in front of a computer.
  • Must be able to lift 25 pounds at times.

Expected Hours of Work:

  • Monday through Friday. 8:00AM-5:00PM. Night and weekend hours may be required

  • None required

Safety Equipment:

  • Wear approved safety shoes for working in warehouse environment.
